This Privacy Policy describes how we collect, use, disclose, and protect information in connection with the Service. If you subscribe to a paid plan, our payment processor (Stripe) collects and processes your payment information. We do not store your full card number; we receive only a tokenized reference, the last four digits, the card brand, and the billing status.
You may receive product-related emails from us, including feature announcements, security alerts, billing notices, and occasional updates about the Service. Transactional emails (account verification, password resets, billing receipts, security notifications) are required for the operation of the Service and cannot be unsubscribed without closing your account. Marketing emails (product announcements, newsletters, promotional content) can be unsubscribed by clicking the "unsubscribe" link at the bottom of any marketing message, or by emailing privacy@modernmanagementapp.com.

We may update this list from time to time as our infrastructure evolves. Material changes will be reflected in this Privacy Policy with an updated revision date.
When you use Modern Management's AI features, user-submitted content โ including resident and tenant communications, property policies uploaded to the knowledge base, and the natural-language queries you type into the command bar โ is transmitted to Anthropic's Claude API for processing.
Per Anthropic's Commercial Terms of Service and API Terms, Anthropic does not train its models on data submitted through the API. Your data is used solely to generate a response to your immediate request and is not used to improve, fine-tune, or train any Anthropic model.

If you upload information about residents, tenants, or other third parties for the AI to process โ including communications, lease details, or personally identifiable information โ you represent and warrant that you have obtained any consent required under applicable law to do so. Because the AI processes this data to fulfill your requests, your uploaded information passes through Anthropic's API. You are responsible for ensuring your own privacy disclosures to residents and tenants accurately describe this processing, including any AI-driven communication drafting or analysis.
We retain your information for as long as your account is active, and for a reasonable period thereafter, to:
When you delete your account or specific records, we will delete or anonymize the corresponding data from our active systems within a reasonable period, typically within 30 days. Residual copies may remain in encrypted backups for up to 30 days before being overwritten, and may be retained longer if required by law.
At any time while your account is active, you may request an export of your data in a structured, machine-readable format (typically JSON or CSV). Contact privacy@modernmanagementapp.com to initiate a data export request. We will provide the export within 30 days of a verified request. Upon account closure, you have a 30-day window to request a final export before your data is deleted from our active systems.
Depending on your jurisdiction, you may have the following rights with respect to your personal information:

Note: if you are a resident or tenant whose information was uploaded to the Service by a property manager, your primary privacy contact is that property manager, who is the controller of your data. We will cooperate with any verified request that comes through the controlling property manager.
If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including:

Residents of Virginia, Colorado, Connecticut, Utah, Texas, and other US states with comprehensive privacy laws have similar rights under their respective state laws. Contact privacy@modernmanagementapp.com to exercise those rights. We will process the request in accordance with applicable state law.
If you are a tenant, resident, or other third party whose information was uploaded to the Service by a property manager, the property manager is the controller of your data. You should first direct privacy requests (access, correction, deletion) to the property manager. If the property manager does not respond or you cannot identify them, contact us at privacy@modernmanagementapp.com and we will make reasonable efforts to route your request to the appropriate controller or respond directly where we are required to do so by law.
The Service is not directed to children under the age of 16, and we do not knowingly collect personal information from children under 16. If you believe we have collected information from a child under 16, please contact us at privacy@modernmanagementapp.com and we will take steps to delete it.
The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your country.
International users: At this time, the Service is primarily offered to customers located in the United States, and we have not yet implemented specific compliance mechanisms for the European Union's General Data Protection Regulation (GDPR), the UK GDPR, or other non-US privacy regulations. If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with specific data protection requirements, please contact us at privacy@modernmanagementapp.com before using the Service so we can address your rights under applicable law. We intend to add formal GDPR/UK GDPR compliance measures as our international customer base grows.
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (if you have provided an email address) or by posting a notice in the Service. The "Last updated" date at the top of this page will always reflect the latest version.
Your continued use of the Service after the effective date of an updated Privacy Policy constitutes your acceptance of the changes.
