Property management is death by a thousand small tasks. "Reply to Mira about the renewal." "Schedule the plumber for Unit 305." "Renew the insurance by May 30." "Follow up with the vendor about the invoice." Each one is tiny. The problem is remembering all of them at once. Modern Management's AI reads every incoming message, every ticket, and every lease event โ and quietly builds your to-do list as you work. Nothing slips. Nothing gets forgotten. You just approve or dismiss the suggestions as they appear.
Every time a resident sends a message, the AI asks itself: "Is there a follow-up action implied here?" If a resident mentions their lease ending, that's a task (start the renewal conversation). If they describe a broken appliance, that's a task (schedule the repair). If they ask when rent is due, that's a quick reply โ not a task. The AI makes these distinctions automatically and surfaces only real action items as suggestions.
Suggested tasks appear in your task list visually distinguished from ones you created manually โ a small AI Suggested badge lets you know the origin, along with a one-sentence explanation of why the AI thought this was worth doing ("Extracted from Mira's renewal message โ her lease is up in 18 days"). You can Accept the task (it moves into your regular task list) or Dismiss it (the AI learns what you don't consider actionable).
Over time, the system calibrates to your style. If you consistently dismiss "follow up to say thanks" suggestions, the AI stops suggesting them. If you consistently accept "schedule preventive maintenance" suggestions, it does more of that. The system works smarter for you the longer you use it.
Every task โ AI-generated or manually created โ is sorted into one of five categories: Vendor, Maintenance, Lease, Finance, or Other. The AI infers the right category from the task description, though you can override it anytime. Your task board can be filtered by category, so when you're about to call a vendor you can see every vendor-related task at once, or during rent week you can focus on Finance tasks exclusively.
Due dates are inferred too. A renewal-related task defaults to the lease's 90-day-out mark. A maintenance task defaults to tomorrow unless the message implied urgency. A finance task related to an insurance renewal defaults to the expiration date. You can always edit the date, but the defaults are sensible enough that most tasks require no adjustment.
Overdue tasks automatically highlight in red. Completed tasks cross out and fade. Your task list is a visual, at-a-glance picture of what's done, what's stuck, and what needs attention right now.
The most common "thing that fell through the cracks" in property management is a lease renewal. Forgotten tracking means conversations start too late, residents feel rushed, and sometimes a perfectly-good tenant walks because you didn't give them enough time to decide.
Modern Management's AI watches every resident's lease end date. When any lease hits the 90-day-out mark, it automatically creates a suggested task: "Start renewal conversation โ Mira Chen (Unit 204), lease expires 2026-07-30." The task appears in your task list, tagged Lease, with the renewal due date pre-filled.
You never miss a renewal window. And because the task is there waiting for you, the conversation starts when it should โ long enough before the lease ends that you can negotiate terms, hear concerns, and ideally close the renewal weeks before any panic sets in.
"I stopped keeping a mental list of things I had to do. The app does it for me. Every morning I open the tasks page, triage the AI suggestions for 30 seconds, and I know exactly what today looks like."
