Adding a document to your Knowledge Base takes less than a minute. You have two options: upload a PDF or TXT file directly, or add a document manually by typing a title, selecting a type, and pasting or writing the content. Either way, the document is saved to your account's database immediately and becomes part of the AI's context from that moment forward.

Every document has a type — lease, policy, procedure, or reference — so the AI knows what kind of information it's looking at. When a resident asks about their pet deposit, the AI searches your knowledge base for policy documents, finds your pet policy, and quotes the exact deposit amount you specified. It doesn't guess. It doesn't hallucinate. It reads what you wrote.

You can edit or delete documents at any time. If your late fee policy changes from $50 to $75, update the document and the AI immediately starts quoting the new number. Modern Management's Unified Inbox has two AI reply modes — Manager Review and Auto-Response — and both of them are powered by your Knowledge Base. This means that whether you're reviewing AI drafts before they go out or letting the AI send replies automatically, every response is grounded in the documents you've uploaded.

In Manager Review mode, the AI reads the incoming message, searches your knowledge base for relevant policies or procedures, and drafts a reply for you to review. You see exactly which documents it referenced and can edit the draft before sending. This gives you full control while still saving you the time of writing every response from scratch.

In Auto-Response mode, the AI handles the entire cycle automatically — read the message, search the knowledge base, draft the reply, and send it. Residents get accurate answers within seconds, even at 2am on a Saturday. The AI never guesses and never makes things up, because it always has your policies to reference. And if it encounters a question it can't answer from the knowledge base, it tells the resident a manager will follow up — it doesn't improvise.

You can switch between modes at any time on the Operations page. Most managers start with Manager Review to build confidence, then switch to Auto-Response for routine questions once they see the quality of the AI's drafts.

The Knowledge Base doesn't just power inbox replies. When you use the AI Command Bar to take action — drafting a message, creating a broadcast, responding to a maintenance request — the AI pulls in your knowledge base to make sure its actions align with your property's rules and procedures.

Tell the AI to "send Alex a reminder about the late fee" and it will reference your late fee policy to include the exact amount, the grace period, and the payment instructions. Ask it to "draft a response about the noise complaint" and it will pull from your house rules to cite the specific quiet hours and consequences you've established. Every action the AI takes is informed by the documents you've uploaded.

This means you don't have to remember every detail of every policy when you're giving instructions. Just tell the AI what you want done, and it will fill in the specifics from your knowledge base.
