Every property is different. Your late fee policy, your pet rules, your move-in checklist, your emergency procedures — they're unique to your building, your company, your style. Modern Management's Knowledge Base lets you upload all of those documents so the AI reads them before every single reply. No more generic chatbot answers. Every response is grounded in your actual policies, your actual rules, and your actual procedures.
The Knowledge Base is where you store everything the AI needs to know about how your property operates. Lease terms, renewal policies, maintenance procedures, pet policies, office hours, vendor contacts, late fee rules, parking regulations, move-in checklists, house rules — anything that a resident might ask about or that the AI might need to reference when taking action on your behalf.
Think of it as the employee handbook for your AI assistant. A new human employee would need to read your lease agreement before answering a tenant's question about breaking their lease early. They'd need to know your late fee policy before telling someone how much they owe. They'd need your vendor list before dispatching a plumber. The Knowledge Base gives the AI the same foundation — except it reads everything instantly, every time, and never forgets a detail.
Everything you upload is stored per-user in the database and persists forever. Your documents are always there, always available, always feeding into the AI's understanding of your property. You never have to re-upload or re-enter anything unless your policies change.
Adding a document to your Knowledge Base takes less than a minute. You have two options: upload a PDF or TXT file directly, or add a document manually by typing a title, selecting a type, and pasting or writing the content. Either way, the document is saved to your account's database immediately and becomes part of the AI's context from that moment forward.
Every document has a type — lease, policy, procedure, or reference — so the AI knows what kind of information it's looking at. When a resident asks about their pet deposit, the AI searches your knowledge base for policy documents, finds your pet policy, and quotes the exact deposit amount you specified. It doesn't guess. It doesn't hallucinate. It reads what you wrote.
You can edit or delete documents at any time. If your late fee policy changes from $50 to $75, update the document and the AI immediately starts quoting the new number. If you add a new vendor to your contact sheet, the AI will reference them the next time a maintenance issue comes up. The knowledge base is a living document — it evolves with your property.
Here's what makes the Knowledge Base powerful: it's not just a document storage system. Every time the AI drafts a reply to a resident — whether through the Unified Inbox, the AI Command Bar, or Auto-Response mode — it pulls your entire knowledge base into its context window first. That means every answer the AI gives is grounded in your actual policies and procedures.
When a resident emails asking "What's the pet policy?", the AI doesn't make something up. It finds your pet policy document, reads the exact terms you uploaded — two pets maximum, $300 deposit, no breed restrictions, registration required — and drafts a reply quoting those specific details. When someone asks about the late fee, it pulls up your late fee policy and gives the exact dollar amounts, the exact grace period dates, and the exact maximum you've set.
This is the difference between a generic chatbot and an AI that actually knows your property. A generic chatbot says "Please contact your property manager for details about the pet policy." Your AI says "Our pet policy allows up to 2 pets with a $300 refundable deposit per pet. There are no breed restrictions, but all pets must be registered with the office within 7 days of move-in."
The result: residents get accurate, instant answers. You spend less time repeating the same information. And nothing the AI says contradicts your actual policies — because it's reading them in real time.
Modern Management's Unified Inbox has two AI reply modes — Manager Review and Auto-Response — and both of them are powered by your Knowledge Base. This means that whether you're reviewing AI drafts before they go out or letting the AI send replies automatically, every response is grounded in the documents you've uploaded.
In Manager Review mode, the AI reads the incoming message, searches your knowledge base for relevant policies or procedures, and drafts a reply for you to review. You see exactly which documents it referenced and can edit the draft before sending. This gives you full control while still saving you the time of writing every response from scratch.
In Auto-Response mode, the AI handles the entire cycle automatically — read the message, search the knowledge base, draft the reply, and send it. Residents get accurate answers within seconds, even at 2am on a Saturday. The AI never guesses and never makes things up, because it always has your policies to reference. And if it encounters a question it can't answer from the knowledge base, it tells the resident a manager will follow up — it doesn't improvise.
You can switch between modes at any time on the Operations page. Most managers start with Manager Review to build confidence, then switch to Auto-Response for routine questions once they see the quality of the AI's drafts.
The Knowledge Base doesn't just power inbox replies. When you use the AI Command Bar to take action — drafting a message, creating a broadcast, responding to a maintenance request — the AI pulls in your knowledge base to make sure its actions align with your property's rules and procedures.
Tell the AI to "send Alex a reminder about the late fee" and it will reference your late fee policy to include the exact amount, the grace period, and the payment instructions. Ask it to "draft a response about the noise complaint" and it will pull from your house rules to cite the specific quiet hours and consequences you've established. Every action the AI takes is informed by the documents you've uploaded.
This means you don't have to remember every detail of every policy when you're giving instructions. Just tell the AI what you want done, and it will fill in the specifics from your knowledge base. The AI becomes an extension of your property's playbook — not a generic tool that needs constant hand-holding.
You can upload anything, but these are the documents that make the biggest impact on AI accuracy. Start with a few and add more over time — the more the AI knows, the better it performs.
Your standard residential lease with all addenda. The AI references lease terms when residents ask about early termination, subletting, renewals, and security deposits.
Quiet hours, common area policies, trash pickup schedules, guest policies. When a noise complaint comes in, the AI cites your actual rules — not generic advice.
Grace periods, fee amounts, daily accrual rules, payment methods. Late notices go out with the exact figures from your policy, every time.
Allowed breeds, weight limits, deposits, registration requirements. "Can I get a dog?" gets a real answer in seconds — not a redirect to the office.
Assigned spots, guest parking procedures, towing policies. Residents get clear, consistent answers about where they and their guests can park.
Fire, flood, gas leak, lockout protocols. When someone reports an emergency, the AI knows the exact steps and contacts from your procedures.
Plumber, electrician, HVAC tech, locksmith — names, numbers, rates, and availability. The AI dispatches the right vendor when maintenance issues arise.
Inspection items, key handoff procedures, utility transfer instructions. New residents get the full checklist without you writing it from scratch every time.
"I uploaded our lease, pet policy, and late fee rules on day one. Now the AI answers 80% of resident questions without me touching anything — and every answer is accurate because it's pulling from our actual documents."
Upload your property's policies and procedures. Every AI reply will be accurate, consistent, and grounded in your actual rules. Set up takes two minutes.
